Primary Distribution

[This is preliminary documentation and is subject to change.]

Primary distribution is the distribution of accreditation standard versions to institutions.

Relationship / data model

A standard may contain one or more versions. Each standard version is distributed independently of other versions of the same standard. An institution may have more than one version of a given standard distributed. Since versions have date intervals, only one version should be "current".

Examples:

  • Institution A may have been given standard X version 1

  • Institution B may have been given standard X version 2

  • Institution C may have been given standard X versions 1 and 2

Prerequisites

One of the types of organizational units must be marked as "institution". For example, in an environment handling accreditation for the hospital sector, the organizational unit type "Hospital" should be marked as institution.

Each institution that is going to receive standards must be marked as active in distribution (a checkbox on the organizational unit property page).

Distributing one standard version to all institutions:

The property page for a standard version has a tab "Distribution", that displays all institutions in the system. Next to each institution is a checkbox. Check the checkbox to distribute the standard version to the corresponding insititution.

Distributing all standards all institutions:

The accreditation sub-menu contains an item "Distribution". Clicking on this item display a matrix - each standard is a column, each institution is a row. In each cell of this matrix is a dropdown containing all versions of the corresponding standard. Select the desired version in each cell (blank if standard should not be distributed), and click "Save" button.

Above the matrix you will find several checkboxes:

Display all versions

Checking this checkbox will change the user interface: Each version will now be shown in its own column, and the cells will now contain checkboxes. This makes it possible to view/edit the distribution of the individual versions - i.e. it is possible to see if an institution has several versions of a given standard distributed. The default user interface (showing dropdowns) only displays the NEWEST version, if there are multiple versions distributed.

Distributing all standard versions to one institution:

Set the instituiton in context, and select tab "Distribution" in the sub-menu. The resulting page shows a link "Distribution of standards (primary distribution) - edit". Clicking this link leads to a page showing a tree (hierarchy) fo all standards and ther versions in the system. Next to each standard version is a checkbox - set or clear this checkbox to change distribution of the corresponding standard version for thi insitituiton in context.

Next step

No matter which of the above methods is used to perform primary distribution, the next logical step is Secondary Distribution (distributing standards from an institution to its sub-units).
